Shipment Document Tracker
Per-shipment checklist of every trade document — issued, received, verified — before the gap becomes a delay.
Verify documents against each other (invoice vs packing list vs B/L) — cross-document mismatches cause more holds than missing documents do.

This tracker stores data locally in your browser — nothing is uploaded. It complements (not replaces) carrier track-and-trace: enter milestones from your carrier's notifications to keep one consolidated, private view across all providers.
Trade shipments fail on paper more than on water: a certificate of origin that never got chamber-attested, an LC document set presented with a one-letter discrepancy, an import permit applied for after the cargo sailed. This tracker manages documents as first-class objects — one row per document per shipment, with a status path from required through verified, and a 'Discrepancy' state that demands resolution.
About Shipment Document Tracker
The verification step is the one most operations skip: documents arrive and get filed, unread, until a bank or border officer reads them for you. Cross-checking the core triangle — invoice, packing list, B/L — for matching quantities, weights, parties and marks catches the majority of holds before they exist. 'Verified OK' should mean a human compared them, not that the PDF opened. The 'who has it' field maps the document supply chain: originals at banks, certificates at chambers, licenses at consultants. When a shipment's release is one document short, knowing WHERE it is beats knowing THAT it's missing — and the due-date column keeps document deadlines (LC presentation periods, permit validities) on the same radar as the freight's.

Frequently asked questions
Which documents does a typical export/import shipment need?+
The core set: commercial invoice, packing list and transport document (B/L or AWB) travel with everything; certificates of origin, inspection/fumigation/insurance certificates, and licenses or permits attach by commodity, destination and payment terms (LC shipments multiply the formality). The select list here covers the usual suspects — the discipline is listing them per shipment BEFORE cargo moves, not discovering them at the border.
What's an LC discrepancy and what does it cost?+
Any deviation between the presented documents and the letter of credit's terms — spellings, dates, amounts, missing stamps. Banks reject on discrepancies (a majority of first presentations have them), converting guaranteed payment into 'subject to buyer's acceptance', plus discrepancy fees and days lost. The defence is proofreading documents against the LC text, character by character, before presentation — tedious, and worth it every time.
When should certificates of origin be arranged?+
At or before shipment — COOs typically need chamber-of-commerce attestation (a day or three), and preferential COOs (for FTA duty savings) have issuance rules tied to shipment dates. The expensive pattern: cargo arrives, buyer asks for the COO to clear at preferential duty, and the chamber's queue plus courier time holds the box. A due-date row here makes that impossible to forget.
How do cross-document mismatches cause customs holds?+
Officers and risk engines compare: invoice says 480 cartons, packing list says 48, B/L says 'said to contain 480' — that triangle triggers a query or exam even when each document is individually plausible. Same for weights, consignee names and HS descriptions. The five-minute cross-check this tracker's 'Verified' status represents is the cheapest customs acceleration available anywhere.
